Terms & Conditions – A&S Travel

These Terms and Conditions apply whether a contract is made verbally or in writing.

Responsibility of the Hirer

The hirer acts on behalf of all passengers travelling. If the hirer is a company, group, or organisation, one individual must be nominated as the responsible person.

The hirer is fully responsible for the actions and behaviour of all passengers on board, including any additional costs incurred, whether or not the hirer is travelling with the group.

A&S Travel and the driver will only accept instructions from the hirer. If the hirer is not travelling in the vehicle, a representative must be appointed and A&S Travel must be informed prior to departure.

Quotations

All quotations are based on the information provided by the hirer and are calculated according to time, mileage, vehicle size, and any additional costs incurred.

Routes are at the discretion of A&S Travel unless specifically requested by the hirer. Any requested route must be confirmed at least 24 hours before departure. Minor route variations may occur due to traffic or unforeseen road conditions.

Booking Confirmation

Hire confirmations and any subsequent amendments will normally be confirmed in writing unless the booking is made at short notice.

The hirer must notify A&S Travel as soon as possible of any changes required. If no amendments are requested, all details stated in the written confirmation will apply.

Use of Vehicle

The hirer must not assume that the vehicle will remain available between outward and return journeys unless this has been agreed in advance.

The vehicle will only remain at the destination for the hirer’s use if prior arrangements have been confirmed with A&S Travel.

Route and Time Variations

A&S Travel reserves the right to charge additional fees for extra mileage or time beyond the original quotation.

The vehicle will depart at the agreed times. It is the hirer’s responsibility to ensure all passengers are present and ready. A&S Travel is not liable for losses incurred by passengers who fail to follow the hirer’s instructions.

Driver Hours & Regulations

Drivers are legally regulated regarding driving hours and rest periods. Neither the hirer nor passengers may delay or interrupt the journey in a way that causes the driver to breach legal regulations.

Seating Capacity

The seating capacity must be confirmed at the time of booking. Under no circumstances may the vehicle be loaded beyond its legal seating capacity.

Animals

No animals may be carried on any vehicle without prior agreement, with the exception of registered guide dogs.

Breakdowns & Delays

Journey times are provided in good faith. However, A&S Travel will not be liable for delays or losses caused by breakdowns, traffic congestion, weather conditions, or other circumstances beyond the company’s control.

Cancellation by the Hirer

If the hirer cancels the booking, the following charges will apply:

  • 14 to 7 days before travel: 25% of total hire cost

  • 7 to 1 day before travel: 50% of total hire cost

  • Less than 24 hours before travel: 100% of total hire cost

Cancellation by A&S Travel

In circumstances beyond the control of A&S Travel — including civil unrest, strikes, road closures, adverse weather, or security concerns — or if the hirer varies agreed conditions without consent, A&S Travel may cancel the contract by refunding all monies paid, without further liability.

Food & Drink

Alcoholic beverages are strictly prohibited on all vehicles. Food and drink (except confectionery) may not be consumed unless prior written permission has been granted.

Passenger Property & Luggage

Vehicles are subject to luggage capacity limits. The hirer must inform A&S Travel in advance of any large, valuable, or special items.

The driver reserves the right to decide whether and to what extent passenger property is carried. While reasonable care will be taken, A&S Travel accepts no responsibility for loss or damage to unattended property.

Passenger Conduct

The hirer is responsible for any damage caused to the vehicle by passengers during the hire.

The driver is responsible for vehicle safety at all times and may remove any passenger whose behaviour is considered unsafe or disruptive.

Complaints

Any issues should be raised with the driver or A&S Travel at the time of travel where possible. If unresolved, complaints must be submitted in writing to management within 14 days of the hire completion.

Refunds

If A&S Travel fails to provide the booked service as confirmed, any refund will be limited to the amount paid for the hire.
